As we witness more schools embracing the student nomination features in Sports Tracker, it’s important to remember the best approaches to utilizing this powerful tool.
This reminder comes at a pivotal time, especially for many new schools joining us and others venturing into these features for the first time. Our goal is to ensure a smooth and efficient process for all, celebrating the enthusiasm while guiding you through the optimal practices for managing student event nominations and registrations.
Recommended Approach for Student Self-Registration:
Distribute Login Details Thoughtfully: Use student login cards or email to share login information, ensuring every student is equipped to access their account independently. We recommend accompanying this with a letter to the parents or students explaining the process.
If you’ve sent student login information directly from Sports Tracker, please note that these emails will be delivered to students in batches (to avoid being caught in Spam filters). Emails will be sent from the ‘sportstrackerapp.com’ domain; your IT Team may wish to whitelist this domain before emails are sent to students.
Give a registration window.
To facilitate a smooth nomination process and ensure all students have ample opportunity to register, we advise schools to allocate a period of at least one week for the completion of this process before closing the meet. This timeframe allows students to log in and register at their own pace, reducing the likelihood of system overload and ensuring a more equitable chance for participation.
Monitor Registration Progress: Use the Student Registration report within your ST account to track who has and hasn’t completed their self-registrations. You can also follow up with students who need a little extra help using our built-in email feature.
If you have any questions regarding these suggested approaches, please do not hesitate to reach out.
